Position Summary

We are looking for an organized and proactive Administrative Assistant to serve our VP of Business Development & Marketing and our HR Coordinator to provide daily admin support and help execute special projects.
Key Responsibilities
========================
Employee Engagement & Events
Coordinate internal team events, including lunches, celebrations, holiday parties, and company-wide annual meetings and gatherings.
Support planning, logistics, and on-site coordination for the Annual Company Meeting.
Assist with meeting preparation, such as setting up conference rooms for bid presentations, and ensuring spaces are ready for guests, trainings, and team gatherings.
Manage branded apparel, promotion items, and business cards, coordinating orders and inventory as needed. With the ability to manage creative aspects of branding.
Business Development & Marketing Assistance
Assist with company website updates, ongoing refresh efforts and blog posts, in coordination with our web developer, creative partners, and copy writers.
Help manage events, ticketing, social media content, and newsletter content that highlight our work and our people, including oversight of photography.
Provide administrative and marketing support for recruitment programs, career fairs, trade school engagements, etc.
Human Resources Assistance
Support HR initiatives including benefit communications, employee engagement programs, and internal trainings and programs.
Scheduling coordination.
Help with employee engagement activities, celebrations, retirements.
Assist with digital records.
Position Requirements
=========================
Bachelor's degree in marketing or communications
4-6+ years of experience in marketing coordination, internal communications, HR support, or project administration.
Excellent organizational and project management skills, with the ability to balance multiple priorities and deadlines.
Strong written and verbal communications skills with attention to detail and brand alignment.
Proficiency in Microsoft Office Suite, Outlook, Social Media Platforms, and basic website management tools.
Collaborative with the ability to take direction and execute, while maintaining alignment with leadership goals.
Experience in the AEC (Architecture, Engineering, Construction) industry is a plus.
