We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing correspondence, and ensuring smooth communication across departments. Duties
Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Light bookkeeping
Scan tax documents
Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as scheduling, bookkeeping, and record keeping
Assist with calendar management and appointment scheduling for staff and clients
Provide exceptional customer support via phone, email, and in person, addressing inquiries efficiently
Support office management activities including supply ordering, document preparation, and maintaining office cleanliness
Handle clerical responsibilities such as typing correspondence, managing emails, and organizing files
Support personal assistant tasks or medical/dental receptionist duties as needed
Requirements
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and familiarity with QuickBooks is preferred
Excellent computer literacy with the ability to learn new software quickly
Strong organizational skills with attention to detail and accuracy in data entry and proofreading
Exceptional customer service skills with professional phone etiquette and communication abilities
Ability to manage multiple tasks efficiently within tight deadlines using effective time management techniques
Bilingual capabilities are highly desirable to serve a diverse clientele effectively
Previous experience in office management, front desk operations, or as a personal or medical receptionist is advantageous
Demonstrated ability to handle confidential information discreetly and professionally

Pay: $22.00 - $28.00 per hour
