We are seeking a highly organized and motivated Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast paced environment. The Administrative Assistant will be responsible for various clerical tasks, customer support, and office management duties.
Duties

Manage front desk operations, including greeting visitors and handling inquiries
Operate multi-line phone systems to answer calls, take messages, and direct calls appropriately
Provide exceptional customer service and support to clients and staff
Perform data entry tasks with accuracy and efficiency
Maintain organized filing systems for documents and records
Assist with calendar management, scheduling appointments, and coordinating meetings
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks
Proofread documents for accuracy and clarity before distribution
Handle bookkeeping tasks as needed, including invoicing and expense tracking
Support office management functions to ensure a well-organized work environment
Assist with any additional administrative duties as assigned
Qualifications
(At least seven years of experience)
Proven experience in an administrative role with strong clerical skills
Proficiency in QuickBooks is a plus; experience with bookkeeping preferred
Familiarity with front desk operations and multi-line phone systems
Bilingual candidates are encouraged to apply; excellent communication skills in both languages are essential
Strong computer literacy with experience in Microsoft Office Suite and Google Workspace
Exceptional organizational skills with the ability to manage multiple tasks simultaneously
Excellent typing skills with attention to detail in data entry and documentation
Demonstrated time management abilities to prioritize tasks effectively
Previous experience as a dental or medical receptionist is advantageous but not required
A proactive approach as a personal assistant is beneficial for this role
