We provide value-added services including menu creation consultation, recipe development, cost analysis, staff training, and social media support. Our mission is to help restaurants access premium, locally-grown produce while supporting culinary innovation and sustainable food systems.
Position Overview
We are seeking an organized and detail-oriented Administrative Assistant to join our growing team. This role is perfect for someone who thrives in a dynamic environment and wants to support a mission-driven agricultural business. You will be the backbone of our office operations, managing HR functions, financial processes, and marketing initiatives while working primarily from home with occasional visits to our Caledonia facility.
Primary Responsibilities
Human Resources & Recruitment
Post job openings on Indeed and other platforms
Screen and manage applicant inquiries
Coordinate onboarding for new hires, ensuring adherence to company policies and procedures
Maintain employee records and documentation
Payroll & Financial Operations
Collect and process bi-weekly payroll data
Manage and reconcile accounts receivable
Create and send customer invoices
Send customer statements and respond to billing inquiries
Update and maintain customer account information
Generate and customize financial and sales reports in QuickBooks to support business decision-making and identify key metrics
Build custom QuickBooks reports tailored to operation needs and business insights
Marketing & Communications
Design flyers and marketing materials using Canva
Maintain and update price sheets
Assemble sales binders and promotional materials
Coordinate orders for business cards and company merchandise
Support social media efforts as needed
Required Qualifications
Proven office administration experience
Exceptional organizational and time management skills
Proficiency with Google Workspace (Gmail, Docs, Sheets, Drive)
Experience with QuickBooks or similar accounting software
Familiarity with Canva or similar design tools
Basic social media knowledge
Strong written and verbal communication skills
Ability to work independently in a remote environment
Reliable transportation to Caledonia, MI for periodic farm visits
Preferred Qualifications
Basic bookkeeping or accounting background
Experience with Microsoft Excel or advanced spreadsheet skills
Knowledge of HR best practices
Familiarity with Indeed's applicant tracking system
Experience managing social media accounts
