Overview


We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure smooth office operations, manage administrative tasks efficiently, and deliver excellent customer service. This role requires strong computer literacy, excellent communication skills, and the ability to handle multiple responsibilities in a fast-paced environment. Prior office management, clerical experience, and familiarity with various office software are highly valued. Bilingual abilities are a plus to serve diverse client needs.

Responsibilities



Manage front desk operations, including greeting visitors and handling inquiries with professionalism and courtesy Answer multi-line phone systems promptly and effectively, demonstrating excellent phone etiquette Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools Perform data entry, maintain filing systems, and ensure accurate record keeping Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management activities such as ordering supplies and maintaining office equipment Provide customer support via phone, email, or in person, ensuring high levels of customer satisfaction Proofread documents for accuracy and clarity before distribution Handle administrative tasks such as copying, scanning, and organizing documents efficiently Support personal assistant duties as needed, including calendar management and travel arrangements

Skills



Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Strong computer skills with the ability to learn new software quickly Excellent organizational skills with keen attention to detail and accuracy Effective multi-tasking and time management abilities in a busy office setting Exceptional communication skills, both verbal and written; experience with phone etiquette is essential Clerical experience or office experience preferred; background in medical or dental receptionist roles is a plus Bilingual proficiency is highly desirable to assist diverse clients and staff members Knowledge of QuickBooks or bookkeeping experience is advantageous Ability to handle confidential information discreetly and professionally

Pay: From $15.00 per hour
