We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities



Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems, handle incoming calls, and transfer or take messages efficiently. Maintain organized filing systems, both physical and digital, including data entry and document proofreading. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Assist with bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking. Provide member support by responding to inquiries promptly and courteously, ensuring a positive experience for members and staff. Handle clerical tasks such as copying, scanning, mailing, and managing office supplies to keep the workplace running smoothly. Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative functions. Support personal assistant responsibilities when needed, including travel arrangements or special project coordination. Demonstrate excellent organizational skills and time management to prioritize tasks effectively.

Qualifications



Proven office experience with strong clerical and administrative skills. Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Experience with QuickBooks or similar bookkeeping software is preferred. Excellent organizational skills with keen attention to detail; ability to multitask efficiently. Strong communication skills with professional phone etiquette. Familiarity with multi-line phone systems and front desk operations. Previous customer service experience demonstrating patience and professionalism. Ability to perform data entry accurately while maintaining confidentiality. Office management experience including calendar management and filing systems is desirable.
Pay: $20.00 - $22.00 per hour

Expected hours: 20.0 per week
