We are seeking a highly organized and detail-oriented Administrative Assistant to join our team! This position will focus on managing billing processes, handling insurance claims, maintaining communication with accounts payable, going over financial contracts with new patients, answering all patient financial questions, running monthly payments for patients, and assisting the doctor and leadership team. The ideal candidate will have strong communication skills, a knack for problem-solving, and experience in administrative or finance support.
Key Responsibilities:
Be the best part of the patients' day
Complete end day and daily deposits
Follow-up/track/manage all patient accounts receivables
Utilize practice credit management protocol (written and telephone activity) to manage delinquency and return the family to a healthy financial relationship.
Prepare and process billing for insurance companies and clients.
Submit insurance claims, follow up on outstanding claims, and resolve billing issues.
Communicate effectively with insurance providers and vendors to ensure accurate and timely payments.
Go over financial contracts with new patients and answer all patient financial questions.
Run monthly payments for patients and ensure all payments are processed in a timely manner.
Manage accounts payable by tracking and processing invoices and payments.
Maintain accurate records and documentation of financial transactions.
Run various office errands, including but not limited to picking up supplies, delivering documents, and other tasks as needed.
Assist with general office tasks to ensure smooth day-to-day operations.
Assist the doctor and leadership team with administrative support as needed.
Be able to lift up to 40 lbs for tasks such as carrying supplies or documents.
Requirements:
Proven experience in administrative or office support roles, ideally in a billing or finance capacity.
Knowledge of insurance billing and claims processes is a plus.
Strong attention to detail and organizational skills.
Excellent communication and problem-solving abilities.
Proficient in Microsoft Office Suite (Excel, Word, Outlook) and basic office software.
Ability to work independently and as part of a team.
Willingness to run errands and assist with tasks outside of the office.
Ability to lift up to 40 lbs as needed.
Reliable transportation to run office errands
Office Hours:
Monday - Thursday from 7:30 am to 5:00 pm and Tuesday from 8:30 am - 5:00 pm. Friday's off.
