Job Description

The Administrative Assistant provides essential administrative support to the Division of Art and Design. This role requires a highly organized, detail-oriented individual skilled in office management, data tracking, event coordination, and communication across faculty, staff, and students. The ideal candidate will work collaboratively with multiple departments to support academic programs, faculty needs, and student services.




Essential Duties Summary


Perform basic office duties including answering phone calls, photocopying, typing minutes, mail handling, and managing mailing merges Order office supplies, process purchase orders, check requests, and reimbursement requests. Maintain and organize shared drive folders to ensure easy access and proper filing of documents. Track and electronically file incoming syllabi; cross-reference with Course Schedule/Guide for all assigned programs (BA, BFA, Theatre undergraduate, pre-college). Electronically maintain faculty documentation including information forms, resumes, Faculty Activities Reports, auditing files, class supplies and reading lists. Monitor and track weekly budget reports. Assist with college-wide event and meeting coordination involving faculty, staff, community members, and students. Provide administrative support to galleries located on both the Henniker and Manchester campuses. Assist Pre-College director with planning, hiring and implementation of summer program. Collaborate with campus operations and Marketing to promote Gallery and Theatre events. Provide administrative support to Art at French Director and classes occurring on the Manchester campus.




Required Qualifications


Proven experience in administrative support roles, preferably within an academic or higher education environment. Strong organizational and multitasking skills with keen attention to detail. Proficiency in office software (Microsoft Office Suite, Google Workspace) Excellent written and verbal communication skills. Ability to manage confidential information with discretion. Collaborative team player with the ability to work independently.
