Based in Albany, Oregon, we provide high-quality, evidence-based Applied Behavior Analysis (ABA) services to help individuals develop essential life skills, increase independence, and reduce challenging behaviors.
Position Overview:
We are looking for a detail-oriented and organized Administrative Assistant to efficiently manage the ABA scheduling process to join our team. This vital role supports our clinical staff by ensuring smooth scheduling and seamless administrative operations, helping us deliver exceptional care to our clients. Additionally, the Administrative Assistant will provide support by assisting with various administrative tasks as assigned by the Office Manager and Clinical Director.
Key Responsibilities:
Manage and coordinate scheduling of ABA therapy session for clients and therapists.
Communicate with families and therapists regarding appointment confirmations, cancellations, and rescheduling.
Maintain accurate and up-to-date client and staff scheduling records.
Assist with administrative tasks such as answering phone calls, emails, data entry, and maintaining office supplies.
Support billing and intake processes as needed.
Collaborate with clinical and administrative teams to enhance office efficiency.
Supports the Office Manager by efficiently completing assigned tasks and projects as directed.
Lead client onboarding, ensuring new families receive timely communication, required documentation, and a smooth transition into services.
Conduct patient outreach, including follow-ups, service reminders, and relationship-building communication with families and referral sources.
Participate in community outreach, including visiting clinics, hospitals, and partner organizations to promote services and strengthen referral networks.
Qualifications:
2+ years of experience in scheduling, administrative support, or within ABA therapy settings (preferred).
Experience in patient/client onboarding and familiarity with medical insurance processes.
Strong organizational and time management skills, with the ability to multitask effectively in a fast-paced environment.
Ability to work independently and manage tasks with minimal supervision.
Demonstrated problem-solving skills with the ability to identify challenges and implement efficient solutions.
Excellent written and verbal communication abilities.
Proficiency with Microsoft Office Suite and Google Workspace tools.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Positive attitude with a collaborative, team-oriented mindset.
Candidates must reside within the Albany, OR area.
Preferred:
Knowledge of ABA therapy principles and terminology
Experience working in healthcare or therapy-related environments
Familiarity with Medicaid and Commercial Insurance Plans
Work Environment:
This position is remote but based in Albany, Oregon.
Candidates must reside within the Albany, OR area.* Occasional local travel required for onboarding, company events, meetings and equipment coordination.
Candidates must be able to work in person if and when a physical office opens in the future.
