The Employment Security Department is seeking a dynamic Administrative Assistant to support our Employment Connections programs across Washington State. This pivotal role ensures smooth operations and exceptional service delivery to job seekers, employers, and community partners.
As a key member of our team, you'll provide confidential, high-level administrative support to the Washington Service Corps (WSC) Director, Program Operations Manager, and management teams. Including coordinating and executing a variety of administrative projects and tasks with precision and discretion. This position is remote but will require in-person attendance for meetings and conferences as directed by your supervisor.
NOTE: This is a project position that is anticipated to continue through 8/21/27 with the potential for extension.
Duties
As the Administrative Assistant, you will serve as a trusted backup to the Executive Assistant supporting the Assistant Director of Operations. You'll anticipate team and customer needs, delivering proactive support that keeps our offices running efficiently, and facilitate seamless communication and organization across the WSC and Program Operations teams.
Some of what you will do:
Promote compliance with agency guidelines and area strategies; assist staff in understanding policy and procedures. Coordinate agency matters internally and with other governmental agencies and partners.
Conduct routine administrative activities and communications; monitor information, requests and internal assignments to ensure timely completion; assist in administrative projects and business process assignments.
Provide customer service support through maintaining general email and voicemail accounts for Program Operations team and WSC as needed.
Coordinate travel arrangements and maintain supporting documents. Coordinate and maintain calendars and appointment schedules; coordinate and make meeting arrangements; prepare agendas and handouts; document, provide, and maintain meeting minutes.
Prepare, review, and maintain correspondence, forms and documents for signature; develop and maintain current lists and matrixes (i.e., organization charts, phone lists, signature authority matrix, training requests, required policy reviews, etc.).
Provide human resources administrative support, prepare, process, and track all personnel and position actions; complete all HR paperwork and coordinate timelines (i.e., recruitment, hiring, personnel actions, position descriptions, yearly evaluations, service awards, etc.); review personnel requests for content and accuracy; request revisions as necessary.
Track and monitor performance evaluation schedules. Act as liaison between HR and staff; provide information on payroll policies, regulations, processes, forms, timelines, corrective actions, and changes.
Qualifications
Required:
Option 1: Four (4) years equivalent education/experience.
Option 2: High school diploma or equivalent AND Three (3) years of clerical, office or administrative experience.
Option 3: One (1) year of experience as an Administrative Assistant 2 OR Two (2) years as an Administrative Assistant 1.
** Associate's degree in business administration, public administration, or a closely related field may substitute for experience.
The required experience includes:
Policy Interpretation & Application: Ability to understand and implement administrative policies effectively
Personnel Coordination: Ability to manage recruitment, selection, and promotion processes
Interdepartmental Coordination: Ability to collaborate with departmental staff on administrative matters
Word Processing - Formats and automates text; Data Management - Organizes and integrates content; File
Handling - Manages uploads/downloads securely; Editing & Formatting - Structures documents professionally; Problem-Solving - Troubleshoots issues and adapts content.
Liaison & Communication: Ability to relay assignments and request status updates
Desired:
Associate's degree in business, public policy, human resources or other related field.
Education to Experience Equivalences:
Associate Degree = 2 years | Bachelor Degree = 4 years | Masters or Higher = 5 years
Additional Requirements of Employment:
