SUMMARY
The
Administrative Assistant 2
serves as part of the Leadership Team and the principal administrative support position under the supervision of the Dean/Executive Director. The Administrative Assistant 2 performs a variety of tasks that enable managers and program staff to accomplish the mission of the agency. They establish office procedures; resolve day-to-day operational problems; coordinates information flow by acting as a liaison among key leaders, staff, and the public.
JOB FUNCTIONS
Essential Functions:
Serves as liaison between Center staff/faculty/adjuncts, Center Administration, SUNY Brockport Administration and University Center for Academic and Workforce Development
Manages the Dean/Executive Director's calendar. Schedule appointments and coordinates executive conference room use
Processes required forms to Human Resources for appointments, performance programs and evaluations, extra service and information changes
Upholds the highest standards of discretion, professionalism, and confidentiality in all aspects of administrative work, including student grievances, personnel matters, and internal communications within the Dean's Office
Prepares applications for REOC student scholarships. Work with the Brockport Foundation Scholarship Office to disburse the scholarships
Posts requisitions in NEOED. Assists staff throughout the hiring process as needed
Supports the REOC HR Liaison with the hiring of new REOC employees
Designs and maintains office filing systems (including electronic)
Responds to inquiries via telephone calls and visitors
Tracks the schedule of reappointments, personnel files, and internal and external communications
Sets work assignment priorities, coverage of office tasks and office telephones. Arranges for work to be completed in a timely fashion.
Prepares for Advisory Committee meetings and serves as secretary to the Advisory Committee. Complete and distribute minutes of meetings. Updates Advisory membership document.
Prepares information for Leadership Team meetings. Complete and distribute minutes of staff meetings, Leadership team meetings, and other committees, as designated
Completes travel reservations and transportation reimbursement paperwork.
Distributes incoming mail; open, sort and respond, when possible, to mail directed to the Dean/Executive Director. Produce letters, tables, documents, etc. when needed. Proofreads and edits documents prepared by staff for mailing or publication.
Supervises Administrative Assistant 1, assists in training new staff and student assistants, and supports senior staff when necessary
Serves on Center committees
Monitors and tracks the status of the Dean's activities, projects, and initiatives
Orients faculty and staff to office and agency procedures
Reserves public spaces for events, order catering, assist with publicity, and handle all logistics as needed at the event
REQUIREMENTS
Minimum Qualifications:
Candidates must have permanent appointment in an Administrative Assistant 2 New York State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Administrative Assistant 2, Full Time.
Preferred Qualifications:
Excellent communication and interpersonal skills.
Excellent organizational skills, ability to prioritize work.
Proficient in Microsoft Office and software such as NEOED, EagleMart
Ability to use or learn to use College online resources
1-year experience in an administrative assistant position at SUNY Brockport
Associate's degree or equivalent experience
ADDITIONAL INFORMATION
Work Schedule:
37.5 hours/week: Monday - Friday 8:00am - 4:00pm
