About the Position
This is highly responsible and advanced secretarial/administrative work designed to relieve the Records Management Division Manager and Assistant Manager of administrative detail. Work at this level is distinguished from the II level by lead work responsibilities and more involvement in coordinating and manage office activities. Incumbents are required to apply a good working knowledge of the programs under supervisor's control to the solution of procedural and management problems.

Performs advanced secretarial/administrative duties that may include liaison, and coordinative functions.
Maintains an appointment calendar and schedules appointments for the Records Management Division Manager and Assistant Manager when required.
Plans, develops, organizes, and implements methods and procedures for day-to-day office operations.
Organizes, coordinates, and disseminates information to County employees, citizens, civic groups, government officials, and others.
Logs court summons for section employees and maintain record of employees receiving summons.
Processes work order requests, printing requisitions, acting pay forms, filing, and quarterly supply ordering according to established procedures of the department.
Prepares monthly statistical Division activity reports and rosters, ensuring information is accurate and updated.
Utilizes LAN computer to access County Mainframe for various information (i.e., MS Outlook, teletypes, etc.)
Maintains and reconciles the annual Departmental Fixed Asset Inventory.
Processes employee timesheets and maintains records/files of Division payroll and personnel matters.
Establishes and maintains office filing system.
Performs tasks and duties willingly and cooperatively which may not be specifically listed in class specification or position description, but which are within the general occupational category and responsibility level typically associated with the employee's class of work.
Qualifications

Must have experience in the Administrative Aide II level equal to the length of the probationary period
or
Associates degree in Business Administration or Secretarial Science
One (1) year of secretarial/administrative experience which involved working with the public, office management and operational details
Any equivalent combination of relevant training, education and experience may also be considered.

Pass an administered Administrative Aide exam. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.

Must work shift work to include (day/evening/midnights), weekends, holidays, and on-call).

General Plan Information:
The Prince George's County benefits plan year is from January 1 to December 31. A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse. Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren).
