Job Overview


We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various computer applications. This role involves handling front desk responsibilities, managing schedules, and providing exceptional customer service to ensure smooth daily operations. Bilingual skills are a plus, as well as experience in medical or dental reception, bookkeeping, or personal assistance. The successful applicant will play a vital role in maintaining an efficient and professional office environment.

Duties



Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling Handle calendar management and appointment scheduling for staff or clients Support bookkeeping tasks using QuickBooks or similar software Provide customer support via phone and email, maintaining excellent phone etiquette and customer service standards Assist with office management tasks such as organizing supplies, managing office correspondence, and maintaining filing systems Support team members with administrative tasks including typing, proofreading, and general clerical duties Maintain organizational standards to ensure a clean, efficient work environment

Experience



Prior office experience in administrative roles such as receptionist, clerical assistant, or personal assistant preferred Experience with Office management tools including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry systems Familiarity with QuickBooks or bookkeeping software is advantageous Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills, both verbal and written; bilingual abilities are a plus Proven ability to manage calendars, handle phone systems professionally, and provide exceptional customer service Experience in medical or dental reception is beneficial but not required Demonstrated proficiency in computer literacy, typing speed, proofreading, and time management
Job Type: Full-time

Pay: $23.38 - $28.16 per hour
