The Assistant Admin Manager supports and oversees the daily administrative operations of the office, working closely with management to ensure efficiency, accuracy, and consistency in administrative processes. This role requires strong leadership, multitasking, and communication skills, along with proficiency in Google Workspace and accounting tools such as QuickBooks. Key Duties and Responsibilities:
Supervise and support administrative staff to ensure seamless day-to-day operations.
Assist in managing schedules, calendars, meetings, and internal communications.
Monitor and ensure timely completion of administrative tasks and departmental deadlines.
Review, proofread, and edit internal and external documents for consistency and accuracy.
Coordinate ongoing projects, ensuring efficient tracking, reporting, and follow-through.
Maintain organized filing systems and ensure data accuracy and accessibility.
Conduct regular audits of records and documentation for compliance with company standards.
Collaborate with accounting staff in basic bookkeeping tasks using QuickBooks or similar systems.
Support the onboarding, and training of new administrative personnel.
Serve as a point of contact for escalated internal and external inquiries.
Assist management with reporting, operational planning, and problem-solving.
Qualifications:
Minimum 2 years of experience in an administrative or office support role (leadership experience a plus)
Proficiency in Google Workspace (Docs, Sheets, Gmail)
Experience with QuickBooks or similar accounting software preferred
Excellent organizational and time-management skills
Strong verbal and written communication abilities
High level of accuracy, professionalism, and attention to detail
Ability to manage competing priorities in a fast-paced environment
