Manage the full cycle of accounts payable, including processing invoices, verifying expenses, job costing, and ensuring timely payments. Reconcile accounts payable transactions with general ledger entries, ensuring accuracy and completeness. Support procurement and purchasing functions by reviewing purchase orders, verifying vendor information, and maintaining purchase records. Utilize accounting software such as QuickBooks to enter data, generate reports, and perform account reconciliations. Ensure compliance with GAAP (Generally Accepted Accounting Principles) standards during all financial activities. Assist with month-end closing procedures by preparing journal entries related to accounts payable and procurement activities. Reconcile vendor statements and resolve discrepancies in a timely and professional manner. Support month-end and year-end close processes, including job cost reconciliation, credit card reconciliation and reporting related to accounts payable. Conduct detailed analysis of accounts payable data to identify discrepancies or potential fraud risks. Maintain meticulous records of all transactions, supporting audit processes and internal controls. Schedule and dispatch concrete crews, trucks, and equipment to job sites. Communicate with suppliers to ensure timely deliveries and negotiate pricing. Source and order materials, tools, and supplies while maintaining cost control. Provide purchase orders (P.O.s) to vendors. Serve as a key point of contact between field teams, suppliers, project managers, and accounting. Maintain accurate documentation and logs of orders, rentals, subcontractors, deliveries, and inventory levels and are up-to-date daily. Approve invoices with PO's pricing and record receipts on logs. Monitor payment terms to optimize cash flow, update Insurance expiration dates, maintain certificates of insurance and W-9 forms. Manage preliminary notices and lien waivers. Process 1099's at year end. Ensure compliance with company policies, internal controls, and accounting best practices. Coordinate and assist with external audits, providing necessary documentation and support. Maintain accurate and organized financial records for audit purposes.



Proven experience in accounting roles focusing on accounts payable, purchasing, or related financial functions. Familiarity with accounting software such as QuickBooks Enterprise Contractor Edition. Strong understanding of GAAP principles, and double-entry bookkeeping practices. Excellent analysis skills with attention to detail for account reconciliation and journal entry preparation. Familiarity with lien waivers, retention, and compliance documents related to construction payables. Bilingual (Spanish) preferred but not necessary. Demonstrated ability to handle data entry accurately using 10-key typing skills under tight deadlines. Pay: $22.00 - $27.00 per hour
