TITLE:

ACCOUNTS PAYABLE SPECIALIST



SUPERVISOR: EXECUTIVE DIRECTOR OF FINANCE

QUALIFICATIONS:



? At least 5 years of successful experience processing a high volume of accounts payable, or other responsibilities related to purchasing and accounts payable

? Supervisory experience preferred, but not required

? Intermediate to expert user in Microsoft Excel and purchasing/payables database software

? Successful experience automating accounting functions in organizations

? Strong customer service skills and willingness to help district patrons and employees navigate the financial systems of the District

? A high level of attention to detail and accuracy is required

? Governmental/school district accounting experience or education is preferred, but not required

Primary Function: To assist the Executive Director of Finance in all purchasing and accounts payable functions of the School District.

PERFORMANCE RESPONSIBILITIES

(to include but not limited to):



? Develop a deep understanding of all purchasing-related procedures in the District

? Prepare and post journal entries for monthly inter-department billings

? Administer the District purchasing card program, review credit card transactions and supporting documentation to ensure transactions are in compliance with board policies and other pertinent laws and regulations

? Manage large vendor accounts

? Assist in legal aspects of bidding and requests for proposals across departments

? Provide purchasing and accounts payable support for all staff, with a focus on Assistant Treasurers and department office managers

? Maintain the accounting software setup to ensure employees have the proper access to purchase order groups and necessary budget codes

? Prepare monthly District sales tax forms and payment

? Maintain the District finance department's procedure manual, making updates and corrections as necessary

? Process and track reimbursements for all District travel

? Manage, process and track transportation reimbursements for parents/guardians

? Assist in annual financial audit and other regulatory audits

? Provide regular trainings for various staff groups to help them successfully navigate the financial systems of the district

? Review all District purchase orders for compliance with board policy, federal and state laws, and proper budget codes

? Create reports in the financial system to promote transparency and access to information needed for decision-making

? Prepare annual vendor 1099s and associated IRS reporting

? Screen and review vendors to ensure legitimacy and accuracy of employer identification numbers or taxpayer identification numbers

? Ensures proper maintenance, filing, and storage of purchasing, payment, and bidding records in compliance with laws governing the District

? Supervise Accounts Payable Assistant

PHYSICAL REQUIREMENTS

? Sufficient manual dexterity which permits the employee to operate a personal computer and standard office equipment;

? Sufficient personal mobility, flexibility, and balance which permits the employee to work in an office environment.

? Job tasks may require occasional stooping, reaching, pushing, pulling, lifting, and grasping.

Terms of Employment:

Employment is for twelve (12) months. Salary and work year to be established by the Board.

Pay: $28.05 per hour

Expected hours: 40 per week
