Job Description

Position Overview:



The Accounting & Business Specialist serves as the primary resource for day to day accounting, serves as the primary human resources contact, and assists with grant reporting and administration. The position works directly with the Executive Director, Director of Operations, Treasurer of the Board, and Ministry on The Margins (MOTM) employees, volunteers, and clients.

Duties and Responsibilities:



Accounting

Accounts Payable - receives bills, enters/codes expenses into the accounting system, and submits bills to the Director of Operations, or delegate, for approval. When authorization is received, prints checks, and submits payment to vendors. Accounts Receivable - performs secondary review of monetary donations received and logged in donation software (Donor Perfect) by the Community Development Specialist. Records cash receipts into the accounting system (Sage). Completes bank deposit slips and provides to assigned staff to make the physical deposit. Backs up input of monetary donations received in the donation software when needed. Monitors cash daily and completes monthly reconciliations. Payroll - reviews approved time sheets and submits hours to outside accounting firm for completion of payroll. Upon receipt of payroll reports, submits to Director of Operations for approval. Tracks employee leave hours, benefits, and records payroll into accounting system. General ledger - helps maintain the general ledger and makes necessary general journal entries that are submitted to the Director of Operations for approval. Assists with the preparation of monthly and annual financial statements. Support the budgeting process by providing accurate data and analysis. Records donated in-kind items/labor into financial statements in accordance with MOTM policy. Assists with Form 990 completion and assists with independent audits and reviews. Provides operational database support to help achieve ministry objectives. Assists with grant administration and reporting.
Human Resource

Assists the Director of Operations with human resource responsibilities. This includes, but is not limited to:

serves as primary HR resource for employees, conducts and coordinates recruitment and hiring activities, completes onboarding employee paperwork, signs employees up for benefits, works directly with insurance companies to maintain employee benefits ensures timely completion of offboarding checklist, coordinates COBRA benefits, maintains employee files and ensures they are organized and complete, assists in completion of Board approved updates to employee handbook and leads employee training, coordinates Workforce Safety Insurance, completes quarterly unemployment reporting and responds to unemployment claims.
Information Technology

Serves as secondary contact for IT services at MOTM. This includes, but is not limited to:

Procuring technology equipment, coordinating with our managed IT services company in setting up employee technology equipment for deployment. Troubleshooting technology disruptions, supporting end users and directing them to our managed IT services company when appropriate. Administering technology solutions, including the video surveillance and proximity systems.
Supervisory

Hires and supervises the Facility & Hospitality Supervisor Reviews and approves time sheets of Facility & Hospitality Supervisor
General

Provides phone coverage, as scheduled, and backs up website and social media communications Represents MOTM on community committees as determined with the Director of Operations Participates in MOTM Team meetings Complies with policies outlined in the Employee Handbook and MOTM's policy manual Other duties as assigned

Qualifications:



Bachelor's degree in accounting, finance, or a related field, or an Associate's degree with a minimum 4 years of related work experience Competency working with Microsoft Office 365, Sage, and other computer programs and tools Strong analytical skills with attention to detail and accuracy in reporting. Excellent organizational skills and ability to manage multiple tasks effectively. Strong communication skills, both written and verbal, for effective collaboration with team members Ability to work well with others and work independently with minimal supervision Experience with non-profits or ministry to the underprivileged is preferred

Essential Functions:



Must be physically able to operate a variety of machines and equipment including computer, office equipment, telephone, etc. Physical demands are essentially those of sedentary work. Tasks may require extended periods of time at a keyboard or workstation. Must be able to move intermittently throughout the workday. Must be in good general health and demonstrate emotional stability. Sitting, walking, and standing continuous throughout shift Lifting 10 lbs or less frequently 11 lbs - 50 lbs occasionally 51 lbs + occasionally Hand functions - grasp and pinch frequently Visual Ability to read/work on computer Verbal and Auditory Must communicate effectively

Working Conditions:



Position is a regular full-time exempt position. Core hours are Monday thru Friday. Working hours are flexible, but typically 8-5. Employee must be reachable by telephone within reasonable timeframes..

Pay: $49,920.00 - $56,160.00 per year
