401(k) Relationship Manager

Job Description

The 401(k) Relationship Manager serves as the primary point of contact for all Plan Sponsors and Plan Participants, ensuring exceptional client service and operational efficiency. This role encompasses 401(k) enrollments both virtually and in-person, Plan Sponsor communications, account management, scheduling, and overall 401(k) servicing support. This position is integral to maintaining Plan Sponsor satisfaction and supporting the broader team in delivering a seamless 401(k) experience. This position is an in-office position, and our office is located in north Oklahoma City.

Responsibilities



Serve as the first level of service for plan participants, addressing inquiries regarding forms, account changes, correspondence, and 401(k) enrollments. Communicate directly with 401(k) participants to request and gather information to assist with rollovers. Rollover assistance includes rolling an employee's money from a previous 401(k) to their current one, rolling money out to their next company sponsor plan, or rolling money out to a personal IRA. Coordinate paperwork and processes with TPA's and RecordKeepers on requests such as distributions, contributions, and routine account updates. Schedule annual reviews and manage related Plan Sponsor client communications supporting up to two retirement advisors. Track action items from 401(k) review meetings. Maintain, update, and drive action items as a project until completion. Documentation and excellent communication on these items are critical. Get quarterly Plan Sponsor communications through compliance approval system, then distributed out to all plan contacts. Monitor and log all client interactions in the CRM system to ensure continuity and follow-up. Continuously improve CRM proficiency to streamline processes and support the team in leveraging technology. Share knowledge with colleagues to foster team growth and operational excellence. Develop and refine workflows, identifying opportunities to enhance client service and internal processes. Some ad hoc office management responsibilities.

Qualifications



Minimum Requirement: Series 6 Securities License Required Other Securities Licenses are welcomed 5+ years of experience client-facing meetings (phone/in-person/virtual mtgs) in the financial industry. 3+ years of experience in participant education and enrollment or 401k Sales Equivalent Understanding of 401(k) Plan Design, Safe Harbor options, workings of mutual fund/ETF/Index as investment options inside a retirement plan. Strong knowledge of client relationship management (CRM) systems. Experience in RedTail is a plus. Excellent communication and organizational skills, with the ability to manage multiple priorities. Substantial Plan Sponsor-facing phone experience with no call reluctance. (We do not cold call.) Detail-oriented with a proactive approach to resolving Plan Participant questions and operational issues. Committed to professional growth and contributing to team success. Enjoys being a self-starter and a quick learner but ensuring details do not suffer. Accepts challenges/change related to new software upgrades/integration points. Appreciates working in a true team environment and keeping team members informed. Experience in these software programs a plus: RedTail, MS Excel, MS Word, and Adobe (creation and editing).

Salary / Compensation



Salary level is dependent upon job and industry experience with potential incentive bonuses. Benefits also include 80% employer paid health, dental, and vision insurances, matching retirement plan, many paid holidays, and vacation / PTO.
